This policy describes our current practices for loopwix.com and the Loopwix platform. It is provided for transparency and does not constitute legal advice.
1. Introduction
Loopwix ("Loopwix", "we", "us", or "our") builds an AI customer support platform that helps businesses answer questions and complete tasks using their own knowledge and systems.
This Privacy Policy explains how we collect, use, store, and share personal information when you visit loopwix.com (the "Website"), join our waitlist, contact us, or use the Loopwix service after early access launches (the "Service").
If you use Loopwix on behalf of a business, that business is responsible for its end-customer privacy notices. We process end-customer data on the business's instructions, as described in our Data Processing Agreement when available.
2. Who is responsible for your data
For the Website and waitlist, Loopwix is the data controller.
When a business uses the Service, Loopwix generally acts as a data processor for end-customer conversation data and processes business account data as a controller for account, billing, and platform operations. The business remains responsible for lawful bases and notices to its customers.
3. Information we collect on the Website
When you browse loopwix.com or join the waitlist, we may collect:
- Waitlist details: email address; optional role (Developer, Agency, or Operator); which page you signed up from; UTM campaign parameters if present in the URL.
- Technical data submitted with waitlist signups: browser user-agent string, referring page URL, and timestamp — used for fraud prevention and to understand how people find us.
- Local storage: a single preference flag so scroll animations run only on your first visit (not a cookie).
- Server logs: standard request metadata (such as IP address, browser type, and pages viewed) for security and reliability.
We do not use advertising trackers or sell waitlist data. We do not send marketing newsletters unless you separately opt in.
4. Information we collect when you use the Service
After early access launches, businesses and their authorized users may provide or generate additional data, including:
- Account data: name, work email, organization name, authentication credentials, and workspace settings.
- Business content: knowledge you upload or connect (documents, FAQs, website content) and configuration for integrations, permissions, workflows, and widget appearance.
- Integration credentials: encrypted tokens and connection settings for systems you authorize (for example REST APIs, Shopify, or Stripe when available).
- Conversation data: messages between your customers and your AI assistant, verification events (such as one-time codes), action logs, and metadata needed to operate and audit the assistant.
- Support and communications: messages you send to us for help, security reports, or compliance requests.
We collect only what is needed to provide, secure, and improve the Service. Businesses control which integrations are connected and which actions the assistant may perform.
5. How we use personal information
We use personal information to:
- Operate the Website and waitlist, including sending early-access invitations.
- Provide, maintain, and secure the Service, including authentication, workspace isolation, and permission enforcement.
- Run AI-assisted conversations using the business's configured knowledge, sources, and policies — not to train shared public models on your workspace content.
- Verify customer identity when a business enables verification before sharing personal data.
- Record audit trails of lookups and actions the assistant performs.
- Comply with law, respond to lawful requests, and protect Loopwix, our users, and the public.
- Improve reliability and product quality using aggregated or de-identified analytics where possible.
6. Legal bases (EEA, UK, and Switzerland)
Where GDPR or similar laws apply, we rely on the following bases depending on context:
- Contract: to provide the Service you or your organization requested.
- Legitimate interests: to secure our platform, prevent abuse, and improve the product, balanced against your rights.
- Consent: where required (for example optional marketing or non-essential cookies if we add them later).
- Legal obligation: where we must retain or disclose information to comply with law.
Business customers are responsible for choosing the correct lawful basis for processing their end customers' data and for providing appropriate privacy notices.
8. AI processing
Loopwix uses large language models and related tools to understand customer messages and orchestrate responses. Important points:
- Your workspace knowledge, credentials, and conversations are scoped to your account and are not used to train shared models available to other customers.
- Prompts and retrieved context may be sent to AI infrastructure providers strictly to generate responses for your workspace.
- Businesses configure permissions, verification requirements, and which systems the assistant may read or change.
- Action and access events are logged to support accountability and review.
9. Data retention
We keep personal information only as long as necessary for the purposes above:
- Waitlist data: until you ask us to delete it or until it is no longer needed for early-access communications, then deleted or anonymized.
- Account and workspace data: for the life of the account and a reasonable period afterward for backups, billing, and legal compliance.
- Conversation history: for a configurable retention period set by the business (default 90 days where that feature is enabled), after which messages are deleted on schedule.
- Audit and security logs: for a limited period appropriate for security investigations and compliance.
10. Security
We implement technical and organizational measures designed to protect personal information, including encryption of integration credentials, workspace isolation, access controls, and monitoring. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
11. International transfers
We may process and store information in countries other than where you live, including where our infrastructure or subprocessors operate. Where required, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms. EU regional hosting options are on our enterprise roadmap.
12. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain processing, and to data portability. Where processing is based on consent, you may withdraw consent at any time.
California residents may have additional rights under the CCPA/CPRA, including knowing what categories of information we collect and requesting deletion, subject to exceptions.

You may lodge a complaint with your local supervisory authority. We encourage you to contact us first so we can try to resolve your concern.
13. Children
The Website and Service are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
14. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Material changes may be communicated by email or a notice on the Website where appropriate.
